Audit-ready ad spend: what finance needs from marketing

Auditors and clients ask the same question: prove the spend. A little structure up front makes the answer a filter instead of a scramble.

Sooner or later someone asks marketing to prove its spend. Usually an auditor, sometimes a client's procurement team. The request is always reasonable and almost always painful, because the evidence lives in five ad platforms and one shared inbox.

What they ask for

Every review of ad spend comes down to the same evidence. Who approved the budget. What was charged, by whom, to which account. Whether the invoice from the platform matches the charge on the card. Anything else is detail.

Capture it at the moment of spend

The cheap way to be audit-ready is to record the answers when the spend happens, because reconstructing them later is where the hours go. Card names that carry client, platform and campaign answer the second question on their own. Limits set to the approved budget answer the first, and attaching the platform invoice to the card transaction answers the third.

Keep people and cards aligned

Reviewers also ask who could spend. A card shared across a team has no good answer. One card per account owner, frozen when someone changes roles, gives you a clean list of who held spending power and when.

Why it pays off before any audit

Teams that set this up rarely talk about audits afterwards. They talk about month end getting shorter and client conversations getting easier, because the same evidence that satisfies an auditor is what a client wants to see on an invoice.
