Reconciling ad spend without the spreadsheet

The month-end spreadsheet exists because card statements and platform invoices never agree. Fix the labeling and most of it disappears.

Ask a finance lead at a media-heavy company about month end and you will hear about the spreadsheet. Card charges down one side, platform invoices down the other, a column of formulas trying to make them agree.

They rarely do, for boring reasons. Platforms bill in thresholds instead of calendar months. Currency conversions land on different days. A single card carries charges for a dozen accounts, and refunds show up weeks after the campaign they belong to.

Fix the labels before the tooling

Most reconciliation pain is a labeling problem. If every charge already carries the client, platform and campaign in the card name, the matching step is a lookup instead of a hunt. Do that first. No integration can add information that was never captured.

Then let the ledger do the matching

Once charges are labeled, sync them straight into the accounting system. Transactions arrive coded to the right client and cost center, receipts and platform invoices attach to the line they belong to, and the reviewer approves instead of retyping. ClickSpend syncs to Xero and QuickBooks this way, and the same idea applies to any card that can export categorized transactions.

Close on a schedule

With labeled charges landing in the ledger daily, month end stops being an event. Finance reviews the exceptions, mostly threshold charges that straddle two months and the occasional refund, and the rest is already done.

The spreadsheet does not go away entirely. It shrinks to the exceptions tab, which is where it belonged all along.
